Because you may use Groupify to participate in organizations of your choosing, the information you provide may reveal sensitive characteristics — for example, affiliation with a religious, political, or civic organization. We process such information solely to operate the Services you have chosen to use, based on your voluntary participation. We do not sell it or use it for unrelated purposes.

All personal information that you provide to us must be true, complete, and accurate, and you must notify us of any changes to such personal information.

Information automatically collected

In Short: Some information — such as your Internet Protocol (IP) address and/or browser and device characteristics — is collected automatically when you visit our Services.

We automatically collect certain information when you visit, use, or navigate the Services. This information does not reveal your specific identity (like your name or contact information) but may include device and usage information, such as your IP address, browser and device characteristics, operating system, language preferences, referring URLs, device name, country, location, information about how and when you use our Services, and other technical information.

The information we collect includes:

  • Log and Usage Data. Service-related, diagnostic, usage, and performance information our servers automatically collect when you access or use our Services.
  • Device Data. Information about your computer, phone, tablet, or other device you use to access the Services.

We process your personal information for a variety of reasons, including:

  • To facilitate account creation and authentication and otherwise manage user accounts.
  • To deliver and facilitate delivery of services to the user.
  • To send administrative information such as details about our products and services, changes to our terms and policies, and other similar information.
  • To enable user-to-user communications with each user's consent.
  • To protect our Services through monitoring and enforcing our terms, conditions, and policies.
  • To respond to legal requests and prevent harm as required by law.

3. Communications and Your Choices

As part of the Services, Groupify sends operational and community communications on behalf of the organizations you belong to. These may be delivered by email, SMS/text message, push notification, and, where enabled, voice call. Standard message and data rates may apply to text messages.

You control which channels you receive. You can turn off email, SMS, or any other communication channel at any time from your user profile, and every message includes instructions for opting out. For text messages, you may also reply STOP at any time to unsubscribe from that channel, or HELP for assistance. We honor opt-out requests promptly.

We do not sell your information, and we do not share your mobile phone number or text-messaging opt-in data with third parties or affiliates for their own marketing purposes. Information is shared only with the service providers that help us deliver the Services (such as our messaging provider), as described in this notice.

4. What Legal Bases Do We Rely On?

In Short: We only process your personal information when we believe it is necessary and we have a valid legal reason to do so under applicable law.

We may process your information if you have given us specific consent to use your personal information for a specific purpose, or in situations where your consent is not required. We may process your information when we believe it is necessary for our legitimate interests and those interests do not outweigh your fundamental rights and freedoms. We may also process your information where we believe it is necessary for compliance with our legal obligations.

5. When and With Whom Do We Share Your Personal Information?

We may need to share your personal information in the following situations:

  • Business Transfers. In connection with, or during negotiations of, any merger, sale of company assets, financing, or acquisition of all or a portion of our business to another company.

We share personal information with third-party vendors and service providers who perform services for us and need access to information to do so — for example, our cloud hosting provider, our messaging provider (for email, SMS, and voice delivery), and our payment processor.   • Other Users / Within Your Organization. Information you share within an organization or in shared areas of the Services may be visible to other members of that organization. Visibility is scoped to the organizations you belong to; Groupify content is not public to the open internet by default.

6. How Long Do We Keep Your Information?

In Short: We keep your information for as long as necessary to fulfill the purposes outlined in this privacy notice unless otherwise required by law.

We will only keep your personal information for as long as it is necessary for the purposes set out in this privacy notice, unless a longer retention period is required or permitted by law (such as tax, accounting, or other legal requirements). No purpose in this notice will require us keeping your personal information for longer than the period of time in which users have an account with us.

When we have no ongoing legitimate business need to process your personal information, we will either delete or anonymize such information, or, if this is not possible, then we will securely store your personal information and isolate it from any further processing until deletion is possible.

7. How Do We Keep Your Information Safe?

In Short: We aim to protect your personal information through a system of organizational and technical security measures.

We have implemented appropriate and reasonable technical and organizational security measures designed to protect the security of any personal information we process. However, despite our safeguards and efforts to secure your information, no electronic transmission over the Internet or information storage technology can be guaranteed to be 100% secure, so we cannot promise or guarantee that hackers, cybercriminals, or other unauthorized third parties will not be able to defeat our security and improperly collect, access, steal, or modify your information.

8. What Are Your Privacy Rights?

In Short: You may review, change, or terminate your account at any time.

If you are a resident in the European Economic Area and you believe we are unlawfully processing your personal information, you also have the right to complain to your local data protection supervisory authority.

Withdrawing your consent: If we are relying on your consent to process your personal information, which may be express and/or implied consent depending on the applicable law, you have the right to withdraw your consent at any time. You can withdraw your consent at any time by contacting us.

Account Information: If you would at any time like to review or change the information in your account or terminate your account, you can contact us using the contact information provided. Upon your request to terminate your account, we will deactivate or delete your account and information from our active databases. However, we may retain some information in our files to prevent fraud, troubleshoot problems, assist with any investigations, enforce our legal terms and/or comply with applicable legal requirements.

Account Deletion — Real and Immediate. When you are signed in, you can delete your account and personal data yourself in a single action from your profile. The deletion is immediate and genuine — not a deactivation, with no waiting period and no reactivation. If you return later, you do so as a new account; your prior data is not restored. Only information we are legally required to retain (for example, for fraud, tax, or legal-hold purposes) is kept. Any residual processing is completed within an outer bound of 30 days. If you cannot sign in, you may request deletion via our Account Deletion Request page.

Prevent Me From Being Added Again. When you delete your account, you may optionally ask us to block your contact information from ever being re-added or re-invited. We retain only a one-way, irreversible token (a hash) of that contact information for this purpose — never your readable email or phone number. The token cannot be reversed to recover any personal data; it exists solely to recognize and honor your wish to stay gone.

9. Controls for Do-Not-Track Features

Most web browsers and some mobile operating systems and mobile applications include a Do-Not-Track ("DNT") feature or setting you can activate to signal your privacy preference not to have data about your online browsing activities monitored and collected. At this stage no uniform technology standard for recognizing and implementing DNT signals has been finalized. As such, we do not currently respond to DNT browser signals or any other mechanism that automatically communicates your choice not to be tracked online.

10. Do United States Residents Have Specific Privacy Rights?

In Short: If you are a resident of certain U.S. states, you may have additional rights regarding your personal information.

States such as California, Colorado, Connecticut, Virginia, Utah, and Tennessee provide their residents with specific rights regarding their personal information. If you are a resident of one of these states, you may have the right to request access to your personal information, request deletion of your personal information, and opt out of certain processing activities.

We may update this privacy notice from time to time. The updated version will be indicated by an updated "Last updated" date and the updated version will be effective as soon as it is accessible. 13. Children's Privacy

Groupify is intended for users aged 17 and older and is not directed to children. We do not knowingly collect personal information from anyone under 17. Consistent with the Children's Online Privacy Protection Act (COPPA), we do not knowingly collect personal information from children under 13; if we learn that we have, we will delete it promptly.
